EVent Coordinator [Minijob] (m/w/d) - Frankfurt am Main, Cologne

Description

  • This role is responsible for assisting in the planning and execution of events, working under the direction of a team lead of event management. 

  • The role involves managing the day-to-day logistics of an event, ensuring that all details are organized and run smoothly. 

  • Event Coordinators work with vendors, handle scheduling, communicate with attendees, and provide on-site support during events. 

  • Their main focus is on the operational aspects of an event, ensuring that everything is in place for the event to be successful.

Responsibilities and Accountabilities

  • Event Planning Assistance: Assist in the planning and preparation of events by supporting the Event Manager with tasks such as coordinating timelines, creating checklists, and preparing materials.

  • Vendor Liaison: Communicate and coordinate with vendors (decorators, securities, technicians, etc.) to ensure services are provided as per the event’s requirements.

  • Logistics Management: Help manage the logistical aspects of the event, such as transportation, accommodation (if needed), and arranging the necessary supplies and equipment.

  • Attendee Communication: Handle the registration process for attendees, manage invitations, RSVPs, and ensure that all attendees receive necessary event details (e.g.  location, schedules).

  • Event Setup and Breakdown: Assist with the physical setup and breakdown of the event, including decorations, equipment, and signage.

  • On-Site Event Support: Provide hands-on support during the event, ensuring everything runs according to plan, assisting with guest services, managing registration desks, and troubleshooting any issues.

  • Scheduling: Coordinate and ensure that event schedules are followed, including speaker timings, and activities.

  • Tracking Deliverables: Ensure that all event components, such as materials, and supplies, are delivered on time and meet the required standards.

  • Post-Event Support: Assist with post-event tasks such as collecting feedback, assisting in follow-up communications, and preparing reports.

  • Event Execution: Ensure that all logistical aspects of the event are executed on time and without issues.

  • Vendor Coordination: Ensure that vendors deliver their services as expected and according to the event plan.

  • Guest Satisfaction: Ensure attendees have a positive experience, including smooth registration, timely services, and assistance with any issues they may have.

  • On-Site Troubleshooting: Be accountable for quickly resolving any logistical issues that may arise during the event.

  • Timeline Adherence: Ensure that all activities happen as scheduled and that event timelines are followed.

  • Event Materials: Be accountable for the delivery and organization of materials needed for the event, ensuring everything is in place and functioning.
